If your team still collects survey data on paper, you already know the routine: printing forms, carrying them to the field, and then spending days typing the answers into a spreadsheet. Every step is a chance for something to be lost, misread or mistyped.
Mobile data collection tools such as ODK (Open Data Kit) and KoboToolbox replace that routine with a form on a phone or tablet. Here is why so many teams are making the switch.
1. Data goes straight into the system
When an enumerator finishes an interview, the answers are saved as digital data. There is no second round of typing, so there are fewer transcription errors and results are ready to analyse much sooner.
2. Mistakes are caught while you are still in the field
A good digital form checks answers as they are entered. You can:
- Require key questions to be answered
- Set limits, for example an age between 0 and 120
- Skip questions that do not apply to the respondent
- Prevent impossible combinations of answers
Fixing a mistake while the respondent is still in front of you is far cheaper than discovering it weeks later.
3. It works without an internet connection
Many survey locations have weak or no network coverage. ODK and Kobo save completed forms on the device and send them when a connection is available, so work in remote areas does not stop.
4. More than text answers
Forms can capture GPS locations, photos, signatures and audio. For a monitoring and evaluation visit, a photo and a map point attached to each record make reporting stronger and easier to verify.
5. Both tools are free to use
ODK is open source and KoboToolbox is free for humanitarian and non-profit use, so cost is rarely the obstacle. The real work is designing a good form and managing the data well, and that is a skill you can learn.
Getting started
- Write down what decisions the data must support. Collect only what you need.
- Draft your questions on paper first.
- Build the form and test it on a real phone before the survey starts.
- Train your enumerators and run a small pilot.
- Review incoming data every day, not only at the end.
Learn it hands-on
At The Data Academy we teach survey design, ODK and KoboToolbox in practical, live online sessions where you build and test a real form. See our upcoming courses to find the next one, and finish with a certificate employers can verify.
